Terms & Conditions
1. Agreement Overview
By booking a tentbox rental with The Roam Home, the customer (the Hirer) agrees to be bound by the following terms and conditions. This agreement is between The Roam Home (the Owner) and the Hirer for the temporary hire of camping equipment.
2. Booking & Payment
A non-refundable deposit of 25% is required to secure your booking. The remaining balance must be paid no later than 28 days before the rental start date. If the balance is not received by this date, the booking will be cancelled and the deposit forfeited. No provisional or unpaid bookings will be held.
3. Collection & Delivery
Equipment is collected from our Gateshead base. Delivery and installation are available within a reasonable radius, subject to confirmation and an additional fee. This is arranged individually upon enquiry.
4. Installation
All tentboxes are installed and removed by The Roam Home team. Customers are not permitted to self-install under any circumstances.
5. Vehicle Requirements
The Hirer is responsible for ensuring their vehicle is equipped with suitable roof bars for the safe use of the tentbox.
• If roof bars are rented from The Roam Home, they are provided strictly on the basis that the Hirer accepts full responsibility for their use and installation.
• The Roam Home accepts no liability for any damage caused to the Hirer’s vehicle arising from the use or fitment of rented roof bars.
• It is the Hirer’s responsibility to check compatibility and ensure correct fitting.
• The Hirer is fully liable for any damage to or loss of the rented roof bars or associated accessories (including locking mechanisms or keys).
• Full replacement or repair costs will be charged where applicable.
• Use on hire or leased vehicles is permitted at the Hirer’s own discretion and risk.
• The Hirer must confirm with their vehicle insurer that the use of a roof-mounted tent is permitted.
6. Security Deposit
A £200 security deposit is payable prior to or upon collection. The deposit will be refunded within 7 days of return, subject to inspection and provided no damage, loss, or breach of terms has occurred.
7. Cancellations & Refunds
• The 25% deposit is non-refundable in all cases.
• If the Hirer cancels more than 28 days before the rental start date, any balance paid beyond the deposit will be refunded.
• Cancellations made 28 days or less before the rental start date are non-refundable in full.
• In the unlikely event that The Roam Home must cancel your booking (e.g. due to equipment damage, safety concerns, or unforeseen circumstances), you will receive a full refund including any deposit paid.
• We will notify you as soon as possible and, where feasible, offer alternative dates or options.
• The Roam Home is not liable for any other costs incurred by the Hirer (e.g. campsite bookings, travel costs).
8. Duration & Late Returns
Rentals run from the agreed start and return times specified at booking.
Unless otherwise agreed in writing:
• Collection and return times are 5:30 pm on the start and end date.
Late returns will incur a charge equal to one full day’s rental cost for each day late.
If the equipment is returned before the scheduled end date, no partial refunds will be issued unless agreed in writing in advance.
9. Use of Equipment
The tentbox is intended strictly for recreational camping purposes.
• Smoking, cooking, or use of open flames inside the tentbox is strictly prohibited.
• The Hirer will receive a full operational overview during installation.
• Optional accessories may be available at an additional charge and must be confirmed at the time of booking.
• The Hirer is responsible for ensuring the tentbox remains safely and securely fitted throughout the hire period.
• This includes routinely checking the mounting system and ensuring the equipment remains roadworthy.
• Any concerns regarding fit, safety, or condition must be reported to The Roam Home immediately.
• Continued use after identifying any issues is not permitted.
10. Loss, Damage & Liability
The Hirer is fully responsible for the cost of any damage, loss, or theft of the tentbox or included equipment during the rental period.
The Roam Home is not liable for:
• Damage to the Hirer’s vehicle
• Personal injuries or property damage resulting from misuse or negligence
• Adverse weather, natural events, or other circumstances beyond our control
11. Insurance
The Roam Home does not provide insurance or damage waiver cover. The Hirer must check with their own vehicle insurance provider regarding coverage.
12. Emergency Support
The Hirer may contact The Roam Home via WhatsApp for assistance during the hire period. While we aim to help promptly, this is not a 24/7 emergency service.
13. Eligibility
All Hirers must hold a full UK driving licence. No minimum age is specified, but the Owner reserves the right to refuse hire if conditions are not deemed safe or suitable.
14. Data Use & Privacy
The Roam Home does not store customer information after the booking is complete. No personal data is retained for marketing or promotional use.
15. Legal Jurisdiction
This agreement is governed by the laws of England and Wales. Any disputes shall be resolved under UK legal jurisdiction.
16. Equipment Specification
The tentbox supplied by The Roam Home is the Tentbox Lite 2.0 in Forest Green. All hires are for this specific model unless otherwise stated in writing.
By confirming the booking, the Hirer acknowledges that they are aware of and accept the specifications, dimensions, and usage limitations of this model.
